None of these are required. They are simply what turns a first conversation into a real answer rather than a promise to look into it.
- Where the facility is
- City and state is enough to tell you which service center covers it and what the response time realistically looks like.
- What needs attention
- Overhead, floors, a specific machine, a pit, a roof, a coating. If you are not sure what the service is called, describe what you are looking at.
- What is driving the timing
- A customer requirement, a shutdown date, an audit, an insurance finding, an inspection, or a problem that has already started. This is usually the detail that changes the plan most.
- The window you actually have
- A sanitation shift, a changeover, a weekend down, a planned outage, or nothing yet. A scope is built around the window, so it helps to know it early.
- Anything already written down
- A Dust Hazard Analysis, an audit finding, an insurer report or photographs. Send them and the scope gets written against them rather than in general terms.
